This Privacy Policy explains how Room Connect (“we”, “us” or “our”) collects, uses and shares personal data through Room Connect.
Room Connect is a networking and contact-sharing app. It allows people to scan QR codes, join rooms, choose which contact details to share, and save where they met other people.

3. How we collect your data
We collect data when you create an account, set up or edit your profile, scan a QR code, join a room, choose details to share, save a connection, add notes, use search, accept or reject cookies, or contact us.

5. Lawful basis for using your data
Account and core app use: we use your data because it is needed to provide the app service you request.
Sharing selected details in a room: we use your consent when you actively confirm that you want to share selected details with other people in that room.
Personal QR sharing: we use your consent when you choose to make selected profile details available through your personal QR code.
Security and fraud prevention: we may use legitimate interests to keep the app safe and prevent misuse.
Legal records: we may use your data where needed to comply with legal obligations.
Analytics or marketing cookies: we only use optional cookies where you have given consent.
6. Who can see your details
Other users can only see the details you choose to share.
If you join a room, other people in that room may see your selected profile details.
If you share your personal QR code, people who scan it may see the selected details you make available.
We do not intentionally make all of your private profile data public.
7. Service providers and hosting
The app is built and hosted using Lovable and connected service providers.
Depending on the app setup, data may be processed by providers used for hosting, database, authentication, file and image storage, QR code generation, email delivery, analytics, security monitoring, support and maintenance. This may include Lovable, Supabase and other providers needed to run the app.
These providers process data to help us operate the app and should not use your app data for their own unrelated purposes.
8. International transfers
Some service providers may process data outside the UK or EEA.
Where this happens, we will rely on appropriate safeguards where required by data protection law, such as standard contractual clauses, UK addendums or other lawful transfer mechanisms.
9. How long we keep your data
We keep your data for as long as your account is active or as long as needed to provide the app.
You can delete your account or ask us to delete your personal data.
We may keep limited records where needed for legal, security, fraud prevention, dispute or backup purposes.
Suggested retention periods:
- Account profile: until account deletion
- Room membership data: until removed by the user, deleted by the room owner, or account deletion
- Saved connections: until deleted by the user
- Consent logs: up to 6 years or as needed to prove consent
- Security logs: normally up to 12 months unless needed for investigation
- Backups: deleted on a rolling basis according to provider settings
10. Your rights
Depending on your location and the lawful basis used, you may have rights to access, correct, delete, restrict, object, request a copy of your data, or withdraw consent where consent is used.
You can withdraw consent for future sharing by editing your profile visibility, removing yourself from a room, changing cookie settings or contacting us.
Withdrawing consent does not affect processing that happened before withdrawal.
11. Deleting your account
You can request account deletion by contacting roomconnect@outlook.com or from your profile page.
When your account is deleted, we will delete or anonymise your personal data unless we need to keep limited information for legal, security or operational reasons.

We use necessary cookies to make the app work. We may use optional analytics or marketing cookies only if you give permission. More information is available in our Cookie Policy.
13. Children
The app is not intended for children under 13. If the app is used by under-18s, additional safeguards and parental or guardian considerations may be required.
14. Security
We use reasonable technical and organisational measures to protect personal data.
No online service can guarantee complete security, so users should only share details they are comfortable making visible to others in a room or connection.
15. Complaints
If you are in the UK, you can complain to the Information Commissioner’s Office if you are unhappy with how your data is handled.
